Divert all calls

Enables calls to your extension to be routed automatically to another extension.

To set first diversion:

  • Pick up your handset and receive the dial tone.
  • Key in # 9 followed by the extension number to which you are transferring your calls.
  • Replace your handset.

All calls to your extension will now go to the new number.

To set a subsequent diversion:

If you are at the extension to which your calls have been diverted and wish to divert them to another extension without returning to your own extension:

  • Pick up the handset of the remote extension. You will receive the dial tone.
  • Key in # 9 # followed by your own extension number followed by * followed by the new extension followed by #
  • You will receive switching successful tone. Replace the handset.

To cancel diversion from your own phone:

  • Pick up your handset. You will receive the interrupted dial tone.
  • Key in ## 9 .You receive the switching successful tone.
  • Replace the handset.

To cancel diversion from the remote phone:

  • Pick up the handset of the remote location. You will receive the dial tone.
  • Key in # 9 * followed by your own extension number. You receive the switching successful tone.
  • Replace the handset. 

Diversion on no reply

Diverts calls from your extension to another extension, if there is no reply from your own extension within approximately fourteen seconds.

To set diversion:

  • Pick up your handset.
  • Key in # 0 * followed by the extension number you wish your calls to be forwarded to. You will receive the switching successful tone.
  • Replace your handset.
  • If there is no reply from your extension, your calls will now be forwarded to the nominated extension after four to five rings. Please be certain to obtain the agreement of the person who will take your calls.

To cancel diversion:

  • Lift the handset and receive the dial tone.
  • Key in # # 0 * .You will receive the switching successful tone.

Automatic call diversion

Automatic Call Diversion

If your telephone has been programmed with Automatic Call Diversion, calls are diverted to a pre-determined number in one or more of the following circumstances:

  • An internal call is not answered within approximately fourteen seconds.
  • An internal call arrives when your phone is busy.
  • An external call is not answered within approximately fourteen seconds.
  • An external call arrives when your extension is busy.

If you would like this feature programming on your telephone, ask your departmental administrator to contact the Telecoms team (telecoms@ucl.ac.uk).

Call hold/reconnect

Places a call on hold at your extension until you wish to reconnect it. Meanwhile you can replace your handset.

To hold a call:

  • Ask the caller to hold
  • Press R and listen for the holding dial tone.
  • Key in * 9. You will hear the switching successful tone to indicate the party is on hold. Alternatively, if you want to call another extension while the caller is on hold, key in the extension number you require.
  • Replace the handset.

To reconnect:

  • Lift the handset. You will receive the holding dial tone.
  • Key in * 1. You will then be reconnected to the caller.

Call transfer

You have the ability to transfer calls to another extension without going through the operator.

  • If you receive a call and the caller wishes to speak to someone on another extension.
  • To transfer a call :
  • Tell the caller you will transfer him and ask him to wait.
  • Press R and listen for the holding dial tone.
  • Key in the number of the extension you require.
  • You may now replace the handset (transfer on ringing).
  • Alternatively, wait for the person you are calling to answer, announce the caller to   be transferred then replace the handset (transfer on enquiry).

NOTE: If the called extension is not answered is busy or the person called does not wish to take the call, you may return to the outside caller by pressing R * 1.

  • If the original party and the person with whom you have consulted both stay on the line, you can alternate between them in this way as many times as required. Neither party can hear your conversation with the other.
  • To disconnect the party you are talking to, and return to the other press R * * 1.
  • If when using Transfer on Ringing the called extension does not answer within a predetermined period, or is busy, the caller will be returned to the extension that attempted the transfer.

To transfer a call to a busy extension:

  • Tell the caller that the number they require is busy. If they wish to wait then:-
  • Press R and listen for the holding dial tone.
  • Key in the number of the extension you require. You hear the busy tone.
  • Press R and key in * * 6 .
  • Replace your handset.
  • The caller will wait "off hook" for the busy extension to become free.

NOTE: If the transferred call is not answered within a predetermined period, the call will be returned to the extension that attempted the transfer.

Conference Calls

A conference call enables up to 6 telephone users to speak to each other at one time.

To add a telephone user when you are already in communication with the first party of the conference:

  • Press R and listen for the holding dial tone.
  • Key in the extension or external number of the person to be added (abbreviated codes may also be used). Inform the person who is going to join the conference.
  • Press R to receive the dial tone, and key in * 4

The call is now joined to the conference.

NOTE: Only one external party may be part of a conference set up in this way.

Camp on (ring back)

To ring back when free:

This facility monitors a busy extension and rings your extension when it is free.

If you have called an extension and received the engaged tone:

  • Press R and listen for the holding dial tone.
  • Key in # 1.You will receive the switching successful tone.
    Note: If you try to set Ring Back on more than one extension at any time, you will receive the number unobtainable signal (continuous tone).
  • Replace the handset. When the extension becomes free, your telephone will give one long (2-second) ring. Pick up your phone; the extension you want will ring as for a normal call.

To ring back when available:

This facility enables you to tell the system to let you know when an extension becomes available.

  • If the extension you are calling is ringing but there is no reply:
  • Press R and listen for the dial tone.
  • Key in # 1.You receive the switching successful tone.
  • Note: If you try to set Ring Back on more than one extension at any time, you will receive number unobtainable signal (continuous tone).
  • Replace the handset. When the extension is next used and the handset replaced, your telephone gives one long (2-second) ring. 
  • Pick up your phone. The extension you want will ring, as for a normal internal call.

Note: Several calls may have ring back set on to your extension at one time.

An operator initiated Ring Back always takes precedence.

To cancel ring back:

  • Pick up your handset; await the dial tone and key in # # 1
  • You will hear switching successful tone. 

Frequent contacts

Communications groups are very useful for groups of up to ten colleagues who are frequently calling each other.

Each extension in the group is allocated a short code (*60, *61 etc.) which they use to call each other. The called party receives a single 2-second ring.

Communications groups have to be set up by Telecommunications. They over-ride any diversions set on the called extension.

Group pick up

If your telephone is a member of a pick-up group covering a number of phones in your area, you are able to answer a call ringing on another extension in that group.

If an unattended ringing extension in your pick-up group is ringing:

  • Lift your handset and wait for the dial tone.
  • Key in * * 3
  • You are then connected to the caller.

System Abbreviated Dialing

A list of frequently called external numbers is stored in the iSDX.

To reduce the time involved taken keying in external numbers each of the stored numbers may be accessed and automatically dialled by keying in a three-digit code.

Check the System Abbreviated Dialing pages of this internal telephone directory for the required number and associated three-digit code.

■ Pick up your handset and receive dial tone.
■ Key # 6 in followed by the three-digit directory code.
■ Wait for the iSDX to automatically dial the number required.
