Do not leave mail on the server

There is an option in your email application to leave mail on the POP server. We do not advise this as it causes the number of messages waiting on the POP server to build up. Having too many messages left on the POP server will cause problems such as POP locks and slow running, which will effect all UCL users.

If you need to check your email in more than one email program, for example, from within UCL and from your home computer, we recommend that you use IMAP instead of POP.

Alternatively, you can use either Remote Cluster WTS or Standalone Staff WTS from your own computer or laptop to view your mailboxes.

To switch off the 'Leave Mail on the Server' option:

  • Thunderbird
    In Thunderbird go to Tools > Account settings. Select Server Settings from the left window. In the Server Settings section of the right window, click in the box labelled Leave messages on server to remove the tick. Click OK to save your changes.
  • Eudora on a PC
    In Eudora on WTS or on a non IS Managed PC, go to Tools > Options > Checking Mail. Remove the cross in the box that says Leave mail on the server. Also make sure the box next to Skip messages over ...K in size is also not selected.
  • Outlook Express
    In Microsoft Outlook Express go to the Tools > Accounts, select the appropriate account and choose Properties and then the Advanced tab. Remove the cross in the Leave a copy of the message on the server box.
  • Eudora on a Mac
    In Eudora on a Mac, go to Special > Settings> Incoming Mail. Remove the tick next to Leave mail on the server. Also make sure the box next to Skip messages over ...K in size is also not selected.
  • Mail on a Mac
    In Mail on a Mac, go to Mail > Preferences. Click on the Accounts icon (this looks like a large blue "@" sign). Select your UCL account and click on Edit. Click on the Advanced tab. Make sure that Remove copy from server after retrieving is ticked and is set to right away in the pull down list.
  • Microsoft Outlook
    In Microsoft Outlook, go to Tools > E-mail Accounts. Select View or Change existing email accounts and click on Next. Select your UCL account and click on Change. Click on More Settings and then select the Advanced tab. Remove the cross next to Leave a copy of messages on the server.
  • Yahoo mail
    In Yahoo mail, click on the Mail Options link on the top right-hand navigation bar. Select Check Other (POP) Mail located under the Mail Management column. Select your UCL account and click on Edit. Remove the cross next to Leave Mail on POP Server.
  • Hotmail
    In Hotmail, click Options and then POP Mail Retrieval Settings. Remove the cross next to Leave messages on the POP server. Also remove the cross next to Download New Messages Only.

If you need to check your UCL e-mail in more than one e-mail package eg from within UCL and from your home computer, IS advise you to use IMAP to check your email.

Alternatively, use WTS from home to view your mail and mailboxes.
