Follow-me printing banner

Follow-me printing allows users to print to any supported network printer (multi-functional device) around college and then authenticate at any printer to retrieve it.

Points to note:

  • When you change your UCL password, you may lose your connection to the printer. You may either need to re-authenticate, or re-install the printer.
  • If you are issued with a new ID card, you will need to contact the ISD Service Desk so that the old one can be dis-associated.

Register your ID card

Please note:

When you first use a Follow-me printer, you MUST register with your UCL ID card - you will not need to register again at another device. To do this:

1. Swipe your ID Card on the card reader.
(NB: If you have an Oyster Card, please ensure that its not near your ID Card when you scan it onto the card reader)

2. Touch the Pull Print icon on the touchscreen.

3. You will be presented with a Log in to register card screen. Click on the OK button.

You are now required to enter your username and password.

4. Touch the username text box, this will open the keyboard.

5. Type in your UCL username and touch OK.

6. Touch the Password text box, this will open the keyboard.

7. Type in your password and touch OK.

8. Touch OK.

Tip! If you need to enter a symbol in your password, press the Shift key and this will display alternative characters and well as uppercase letters.

Print a document and other options

1. Send your document to be printed as normal, to one of the staff print queues.

How do I do this in WTS?

In the program that you want to print from, select the print option (E.g. in Microsoft Word, File > Print).

Locate and select one of the following queues:

  • uclStaff - black and white queue, single sided
  • uclStaffColour - prints in colour and automatically prints duplex
  • uclStaffMono - black and white queue, single sided

How do I do this on a Windows PC?

You need to install the printer.

1. Open windows explorer and type \\uclusers-sv4.uclusers.ucl.ac.uk\ in the address field.

2. You should then be asked for a username and password. This is your UCL username and password.

Important: Ensure that the UCL username is typed in the following form: ucaaxxx@uclusers.ucl.ac.uk (replace ucaaxxx with your UCL user id)

Under the username and password boxes, there is also a check box for remembering credentials. You may wish to click this box so that you do not need to go through this process again, every time you restart your machine (there may be a timeout before you are asked).

3. You should now see a window appear with two printer choices: uclStaff and uclStaffMono. The only difference between these two queues is that uclStaffMono is black and white only. 

Right-click the printer of your choice and select Connect. This will add the printer to your local devices and download drivers if necessary.

This method has been tested on both Windows XP and 7 operating systems.

Note: When you change your UCL password, you will lose your connection to the printer. You will need to follow these steps again to re-install it.

How do I do this on a Mac?

You need to install the printer.

These instructions are based on Mac OS X 10.6.7 (Snow Leopard):

1. Click on the Apple icon and go to System Preferences -> Print & Fax.

2. Click on the Add Printer button ("+") and select the Advanced Tab.
(If you cannot find this option: control-click on the 'Default' icon and select Customize Toolbar).

3. Enter in the following settings:

    Type: LPD/LPR Host or Printer 
    URL: Type in the following line, please ensure that you replace
    ccaaxxx
with your UCL username:

    lpd://ccaaxxx@uclusers-sv4.uclusers.ucl.ac.uk/uclStaff

    Name: uclStaff
    Print Using: Generic PostScript Driver.

4. Finally click on the Add button.

Note: When you change your UCL password, you will lose your connection to the printer. You will need to follow these steps again to re-install it.


2. At the printer swipe your UCL ID card.

Tip! If you don’t have your ID card, you can use your userid and password to sign on. Touch the Pull Print button to begin and enter your username and password (as described in the registration process).

3. You will be presented with the following menu options:

Pull Print

1. To print, touch the Pull Print button. The window then displays all the jobs you have waiting to be retrieved.

Tip! If you sent a number of jobs, the most recent will be displayed at the top of the list.

2. Select the document you want to print (a tick will appear in the box next to the document) and touch the Print button.

3. Touch Back to step back a menu or click the Home button (top left hand corner) to return to the Home menu.

If you have finished, remember to sign out! The button is available on the Home screen on the bottom right hand corner. Alternatively, you can swipe your ID card on the reader to logout also.

You don't have to wait until your job is finished to sign out. You can do so as soon as you have released your job if you wish.


Copy

1. Place the document you wish to copy on the glass.

2. Touch the Copy button. 

3. You will see various features such as Enlarge/reduce, Staple/collate, Content orientation, Paper selection and so on. Choose the option you need by touching the relevant button and selecting the required size, orientation or some other feature.

Click OK after each selection made.

4. When you have made all of your selections, click on the Start Copy button (next to the Home button in the top left hand corner).

You document will then be copied and printed.

Email

1. Place the document that you would like to email on the glass.

2. Touch the Email button.

From: Your name will be added as default. You cannot change this.
   
To: Defaults with your name. You can change this. Tap the To field and using the keyboard, type the required address.
   
Subject:
By default the subject is Scanned Document. You can change this. Tap the Subject field and using the keyboard, type in the subject for your email.
   
File name:
By default this is [untitled]. You can change this. Tap the File name field and using the keyboard, type in the filename of your document.
   
CC&BCC: Add addresses as required in these fields.

3. When you have finished, click on the Send E-Mail button (next to the Home button in the top left hand corner).

The document will then be scanned and the email sent.

The document that has been scanned will arrive in the recipients Inbox as a PDF attachment.

You will be prompted to sign out if you have completed your job.

Fax


1. At the printer swipe your UCL ID card.

2. Place the document in the automatic document feeder or scanner glass.

3. Touch the Fax button.

4. Select Fax Recipients and enter in Fax Number.

5. Touch OK to return to the Fax Screen

6. Touch Start to send the fax.

Changed your UCL password & cannot print?... 

If you have installed the printer on your own machine, when you change your UCL password, your connection to the printer may be lost.

You may just need to re-authenticate or you may need to re-install the printer again.

Note: You may need to delete/disconnect the printer from your list first.
