How do I get a UCL user id and password for staff, students or visitors? |
| For staff |
ISD Service Desk
- Staff are registered by HR in the first instance.
- For established staff (i.e. not honorary or casual staff) the computer account will be created automatically up to two weeks before their start date (assuming they have been registered by HR). Details will be accessible via the Services System.
- Honorary staff: are not registered automatically - accounts must be requested via the Services System and will be available the following day.
- Casual staff: are not entitled to staff accounts. If computer accounts are required the user must be registered as a visitor in the department (see below).
- The ISD Service Desk will be instructed automatically to issue the staff member with a user id and password that will be distributed to the departmental administrator by internal post.
Computer Reps
- Staff are registered by HR in the first instance.
- For established staff (i.e. not honorary or casual staff) the computer account will be created automatically up to two weeks before their start date (assuming they have been registered by HR). Details will be accessible via the Services System.
- Honorary staff: are not registered automatically - accounts must be requested via the Services System and will be available the following day. You will find the member of staff on the Staff tab - you don't need to add them as a visitor first.
- Casual staff: are not entitled to staff accounts. If computer accounts are required the user must be registered as a visitor in the department (see below).
- The departmental Computer Rep needs to use the Computer Reps Tool or the Services System to identify the staff members user id;
- Once the staff members user id has been identified. A computer rep then links through to the MyAccount service in order to generate a token that can be used to create a password;
- The staff members user id and token can then be given to the staff member who then uses the MyAccount service to all them to create a password for their central computer account.

For students |
ISD Service Desk
- All students should be registered by Student Records in the Registry in the first instance.
- Accounts are created up to two weeks before the student's start date and details will be available in the Computer Reps Tool or the Services System.
- The ISD Service Desk will be instructed automatically to issue the student with a user id and password that will be available to collect from Service Desk on their first day at UCL.
Computer Reps
- All students should be registered by Student Records in the Registry in the first instance.
- Accounts are created up to two weeks before the student's start date and details will be available in the Computer Reps Tool or the Services System.
- The departmental Computer Rep needs to use the Computer Reps Tool or the Services System to identify the students user id.
- Once the students user id has been identified, a computer rep can link through to the MyAccount service in order to generate a token that can be used to create a password;
- The students user id and token can then be given to the student who then uses the MyAccount service to create a password for their central computer account.
| For visitors |
ISD Service Desk
- The ISD Service Desk cannot register visitors for central computer accounts. Enquiries should be referred to the appropriate departmental administrator.
- To request a computer account for a visitor is a two stage process and requires both a visitor record and a request for a computer account:
- Note: only Services System users with the Departmental Administrator role can create the visitor record. Both DAs and Computer Reps can submit the account requests. Consult the Services System user list for details of users and their roles.
Computer Reps
- Accounts for visitors needs to be requested using the Services System in the first instance. The visitor's person and visit details must first be registered (this step must be done by a Services System user with the Departmental Administrator role) before a service request for a computer account can be made. The Service Request can be submitted by either a DA or Computer Rep.
- The computer account is generated and becomes available after two days.
- A Computer Rep can then find the visitor's user id in either the Computer Reps Tool or the Services System.
- Once the visitors user id has been identified. A computer rep then links through to the MyAccount service in order to generate a token that can be used to create a password;
- The visitor's user id and token can then be given to them. They can then use the MyAccount service to create a password for their central computer account.
