How to install CWYW tools in Word 2010

For those using EndNote X4 and Word 2010

This also works on the Myriad computers

1.  Go to the Word 2010 toolbar, click FILE, OPTIONS (located under "Help"), then ADD-INS 

2. View the Add-Ins "Inactive Application Add-ins" section for the "EndNote Cite While You Write" add-in file.

3. Click to highlight the "EndNote Cite While You Write" add-in file, then at the bottom of the screen where it says "Manage", confirm that "COM Add-Ins" is listed then click the GO button, then click OK.  Tick the box for the ENX4 CWYW add-in and click OK.

4. Close Word Options window and return to the Word document.  If the EndNote toolbar does not appear, close Word then reopen the program.

Insert a figure or a table

To insert a figure or table in Endnote:

  • Create a manual reference in your Endnote library (click on the green circle    with a white cross, on the toolbar)
  • Select “Figure” or “Chart/Table” from the “Reference Type” drop-down menu at the top of the screen
  • Enter any details you wish to include in the reference (when you insert it into your Word document, the only elements that will appear are the figure itself and the caption)
  • Attach the figure: Click in the Figure field, then go to the References menu and select FigureAttach Figure
  • Click on Choose File, then browse to find your figure
  •  Click on OK

To add the figure or table to your Word document:

  • In the Word document, position the cursor at the location where you would like the figure citation to appear
  • On the EndNote tab, in the Citations group, click Insert Citation and then Find Figure
  • In the text box at the top, enter text to identify the reference that contains the figure. EndNote assumes an "and" between each word, and will search all fields in your records, including the Caption field
  •   Click Find, and EndNote compares the text to text in your EndNote references and lists each matching reference that contains an image
  • Identify, highlight, and Insert the appropriate figure


The figure or table number will be inserted as a citation (figures or tables are numbered in the order that they appear in the text). Endnote inserts the figure or table, and the caption, immediately after the paragraph that cites it.


If you wish, you can ask Endnote to put the figure and caption at the end of the document instead:

  • Go to Endnote and clicking on EditOutput StylesEdit “Harvard”
  • Click on “Figures” (at the bottom of the menu to the left of the screen)
  • Under “Placement”, select Insert figures as list at the end of the document

Alternatively, if you are creating a reference for a figure that you have found in another publication (e.g. a figure that is included in a published book or journal article), the reference needs to include the following elements:

The citation for a figure or table should include author, date and page numbers.

e.g. The infant mortality rate for the region decreased by 5% between 1997 and 2001 (Jones, 2002, p.5)

The reference should include:

  • author
  • year of publication (in round brackets)
  • title (in italics)
  • place of publication: publisher
  • page reference of illustration, etc.
  • illus./fig./table

To display PMCIDs in Endnote and in Word

PMCIDs should import automatically into the PMCID field in the Endnote reference

To change the display within your Endnote library to include the PMCID column:

  • Go to the Edit menu and select Preferences
  • Click on Display Fields (in the left hand menu)
  • Click on the drop-down menu for one of the fields and select Custom 2

To include the PMCID number in your Word references, select NIH as the style

How to switch off "reveal codes" in Word

Press Alt-F9.  Pressing it repeatedly switches it on and off.

How to reorder the references in the bibliography

 This is if the style you are using doesn't do it.

  • Go to the Edit menu
  • Select Output Styles
  • Select Open Style Manager
  • Double click on the name of the style you are using
  • From the left hand column, beneath Bibliography, select Sort Order
  • Select the option that you want (e.g. Author + Year + Title)
  • Close the window and save the changes when you are prompted
  • Choose a name for your "new" style

You will now be able to select your "new" style name from the Style drop-down menu on the Endnote tab in Microsoft Word.

How do I access Endnote?

ICH or UCL staff

  • Offsite and Onsite use (free) - access Endnote offsite via WTS. To access WTS, select one of the options on the ISD website at  http://www.ucl.ac.uk/isd/staff/windows/wts/access
  • Offsite use (purchase a copy) – buy a copy to download to your personal computer, with an educational discount, from Adept Scientific https://edustore.adeptscience.co.uk/a4e/index.jsp  (Click on “My institution is a member of the UK Access Management Federation” and select UCL.)

ICH or UCL students

How can I access Endnote Web

Endnote Web is available to GOSH staff, UCL staff and UCL students via the Web of Knowledge (http://wok.mimas.ac.uk). 

GOSH staff need to log on to Web of Knowledge with an NHS Athens password. UCL staff and students need a UCL computer account for offsite access.

  • Click on My Endnote Web at the top of the toolbar
  • Click on Register to create an accou
  • Once you have created an Endnote Web account, you can access the software by logging on to the Endnote Web website (www.myendnoteweb.com)

Export references from a Reference Manager database to an Endnote Library

(i) Export your references from Reference Manager

  1. In Reference Manager go to the File menu and select Export
  2. Click on the button with the 3 dots, select a name for the file and save the file to your Desktop
  3. Set the Output format to RIS
  4. Set the References options to All references in list
  5. Click Export
  6. Close Reference Manager

*If you do not need to import the Reference IDs from your Reference Manager database, go directly to step (iii)

(ii) Sort your Reference Manager file

1. Go to the following web site: http://www.endnote.com/support/faqs/Files/RIS_SORT.zip

2. Save the RIS_SORT.zip file to your desktop

3. Go to your desktop and double click on the RIS_SORT.zip file

4. Drag the RIS_Sort folder onto your desktop

5. Double click on the RIS_SORT folder

6. Double click on RIS_Sort.exe

7. Click on the "Browse" button next to "Input File:" and select the file you saved to the desktop in step (i)

8. Click Run

9. Click OK to the Done message

10. Click Exit

(iii) Import your references into Endnote

1. Open EndNote (Note: if you have Endnote is on a different computer to Reference Manager, you will need to transfer the text files you have already saved to the computer with Endnote)

2. Open or create a library to import the references into (Note: if you have more than one library open, the data you import will go into the active library)

3. Go to the File menu, and choose "import"

4. Select the text file you exported from Reference Manager (make sure you select the SORTED version of the file if you need to import Reference Manager Reference IDs).

5. Select "RIS (Reference Manager)" as the import option.

6. Import the file.

Amend Harvard style to display 3 authors et al

  • Open your Endnote library
  • From the Edit menu, select Output Styles>Open Style Manager
  • Tick the box next to Harvard and click on the Edit button
  • From the menu to the left of the screen, under the heading Bibliography, select Author lists
  • On the  right hand pane where it says "if  a 100 or more authors, list the first.... " Make sure that you substitute 100 with 3 in both boxes.

To create separate bibliographies for each chapter and a master bibliography at the end

(works with Endnote X4 - not with earlier versions)

1. Divide the Word document, containing Endnote citations, into sections by:

  • using a master document with each chapter as a sub-document OR
  • using section breaks to divide the document (under Page Layout -- Breaks -- Section Breaks)

(Microsoft Word documentation will provide more information on using master documents and section breaks)

2.  Open the Endnote Library that is linked to the Word document:

  • From the Edit menu, select Output Styles, then Open Style Manager...
  • Select the style that you wish to use in your Word document (e.g. Harvard) and click on the Edit button
  • Click on the heading Sections in the left hand column
  • Select from the available options (i.e. Create a bibliography for each section OR Create a bibliography for each section and a complete bibliography at the end of the document)
  • Go to the File menu and select Save as
  • Give your new style a name

3. Reformat your Word document

  • Click on the Endnote X4 tab in your Word document
  • Use the Style drop-down menu, then Select Another Style..., to select the style you created in step 2
  • If your document doesn't update automatically, click on Update Citations and Bibliography in the Endnote X4 tab


How to install the Endnote toolbar in word in WTS

In WTS users should go to 'Start', 'Programs', 'Office Applications', 'Endnote X' then 'Endnote Toolbar'. This will open a window that will allow them to install the toolbar. The next time they open word the toolbar will be available.

How to add  filters

  • Check that the filter you want is not already available. 
  • Edit
  • Import Filters
  • Open filter Manger
  • If the database and platform you require is not there, click on "Get more on the web" at the bottom of the page
  • This takes you through to http://www.endnote.com/support/enfilters.asp
  • This will give you a full list of the import filter available from EndNote, these can be
    sorted by Database, Information Provider or Date
  •  Chose the database whose filter you wish to download
  • Save it  as Endnote Filter  in C: Program Files/Endnote X4/Filters
  • The filter will now appear in the EndNote filters
