Term Time Contracts Guidance - For Staff Working Three Terms who are paid over 12 months

1. Purpose

The purpose of the scheme is to improve the retention of existing staff and facilitate the recruitment of external candidates whose domestic commitments mean that they are only available for work during UCL term times.

Staff who work term time only do not work at all during the UCL holidays, but are paid all year round at a pro-rata rate.

Employees on term time only contracts are not allowed to take annual leave during term time, managers can authorise unpaid leave in exceptional circumstances.

2. Application of Scheme

Many posts within UCL may be suitable for term-time contracts. Appointments will be made on UCL terms and conditions of service and may be initiated in the following ways:

•  Salary Payments

The individual will receive salary payments distributed equally in twelve monthly payments. Should the individual leave part way through the year, any adjustments to salary for money owed either way will be made in their final salary.

•  Annual Leave

Staff will receive payment for their annual leave in their 12 equal salary payments.

The salary and annual leave allowances are based on the number of weeks worked by the term time member of staff compared to the number of weeks worked by a nominal full time employee on a 36.5 hours per week all year round contract.

In the normal circumstances staff on term time only contracts will not be allowed to take annual leave outside of UCL holiday periods. The responsible manager does have the right to exceptionally approve unpaid leave. Any periods of unpaid leave will need to be taken into account when calculating annual leave.

A person working 36.5 hours per week term time only will be paid in accordance with the UCL salary for the post at a term time only FTE of 0.6736.

A person working a fraction of each week on a term time only contract will be paid in accordance with the UCL salary for the post at a term time only FTE of 0.6736 multiplied by the percentage of the week worked. So for example a person working 0.8 of each week in term time will be paid the UCL salary for the post at a term time only FTE of 0.6736 x 0.8
