Relocation - Transport of Personal Effects

This Policy is only applicable to UCL staff seconded to Nazarbayev University, Astana, Kazakhstan

UCL have engaged the following preferred supplier of relocation services for the transport and storage of UCL employees’ personal effects and household goods:

Personal effects only (no packing, no furniture): DHL

When relocating to or from the UCL Centre for Preparatory Studies, Kazakhstan please refer to the specific relocation package benefits. See (CPS support package)

Form C3 is a form required to declare personal belongings to Customs and claim any duty and tax reliefs that may apply when returning or transferring residence from outside the European Community to the UK.

Procedure

Staff should decide if the personal effects will be more conveniently and cost effectively shipped as excess baggage or whether the volume / cost of goods warrant shipping separately. In the latter case it should be borne in mind that the goods will not be immediately available on arrival in Astana as the shipment will require customs clearance.

If a separate shipment is required staff should contact DHL and make the necessary arrangements regarding the collection, packing, transport, storage, customs clearance and delivery of their goods. The invoice will be directed to UCL Finance. The supplier contact details are:

The person packing the goods must complete the pro forma invoice which will be collected with the shipment by DHL. Please note the following restrictions:

Items that cannot be sent with DHL:

  • Aerosols
  • Antiques
  • Asbestos
  • Dangerous goods, hazardous or combustible materials
  • Firearms, parts of
  • Furs
  • Isopropanol
  • Ivory
  • Jewellery
  • Liquids
  • Military equipment
  • Perishables
  • Pornography
  • Precious metals & stones
  • Substances containing sodium or calcium cyclamate
  • Unused postage stamps
  • Undeveloped photographic films

Size and Weight:

  • Box dimensions must not exceed 84x84x84 cm
  • Weight limit per box is 45 kg
  • Maximum shipments weight 250 kg.

Ideally consignments will be multi-piece consisting of sturdy boxes or suitcases weighing less than 30 kilos.

The driver collecting the shipment will complete a numbered air waybill and handover a copy to you for tracking purposes.
