Policy Regarding FIS Enquiry Access

General Ledger
     
i) The normal set up is that Departmental Administrators can have access to all of the department's general ledger codes, based on the two character departmental prefix.  
    
Example:  Departmental prefix AB.
     
The Departmental administrator can view all four character general ledger codes commencing with AB**. Asterisks indicate any character.
     
ii) Where a department has more than one departmental prefix then all prefixes can be included in one group for enquiry purposes.
     
Example:  The normal departmental prefix is AA. However because of a recent merger and also because the volume of codes required has grown significantly the department also uses general ledger codes with the prefix AC and HZ.
     
The Departmental Administrator can have access to a ‘group' which includes AA**, AC** and HZ**. Alternatively the departmental prefixes can be included in different groups. Different staff can have access to each.
     
Example:  Administrator 1 can have access to all AA** codes.
Administrator 2 can have access to all AC** codes.
Administrator 3 can have access to all HZ** codes.
     
A department can have both of these variations at the same time so that different staff can enquire on a different range of codes.

iii) It is also possible for a more restrictive set up to be used, based on unit codes.  This option will only be considered if options i) and ii) above have been tried and are not satisfactory.

Research Grants      

i) A departmental administrator can be given a responsibility that allows access to all of the Departments grant codes, based on the two character departmental prefix.
  
Example: Departmental prefix AB.
     
The Departmental administrator can view all four character grant codes commencing with AB**. Asterisks indicate any character.
     
ii) Where a department has more than one departmental prefix, then all prefixes can be included in one group for enquiry purposes.
 
Example: The normal departmental prefix is AA. However because of a recent merger and also because the volume of codes required has grown significantly the department also uses grant codes with the prefix AC and HZ.
 
The Departmental Administrator can have access to a ‘group' which includes AA**, AC** and HZ**.
     
As in the General Ledger, it is possible to have one multiple group containing all Departmental codes and to have each Departmental prefix as a separate group, so that different staff can have access to each prefix.
