Privacy notice

Information we hold

UCL Careers staff have access to some of the personal data you provided when you enrolled as a UCL student, as outlined in the UCL General Student Privacy Notice. This Privacy note supplements and provides additional clarification to the UCL General Student Privacy Notice.

If you make use of any UCL Careers services, we will also retain other data relating to these activities, such as:

  • Appointment and event booking details (which includes discussion notes following appointments or copies of documents shared / discussed)

  • Your feedback on services

  • CVs and cover letters for opportunities where UCL Careers are shortlisting candidates

Both your personal data and information on your engagement with UCL Careers is stored on your 'myUCLCareers' account (find more details about the myUCLCareers database).  This data is available to view by logging in to your account and clicking the 'Profile' tab.

Occasionally, students will be asked to provide further information about themselves, such as through Careers Extra, a project which offers tailored support to students from Widening Participation backgrounds or as a result of taking part in a focus group. We will also ask recent graduates to participate in a short survey to help us plan services for alumni.

We also film or take photographs at UCL Careers fairs and themed week events, and use these images and video in promotional materials. You can speak to staff at fairs and themed week events to decline filming or photography if you prefer.


How we use your data

We use the data in myUCLCareers to manage your use of Careers’ services and facilities. In particular, we also use it:

  • to carry out research
  • to produce statistics for internal reporting
  • to share general information on the service
  • to indicate how to access services and signpost events
  • to graduates to inform them of the government-sponsored Graduate Outcomes survey
  • to enable employers to receive your details via our shortlisting services where you have made an application

We also share information about use of UCL Careers and the destinations of graduates with academic departments. This information supports departments to improve the employability of their graduates and promoting their programmes to prospective students.

Through your myUCLCareers account you can also elect to receive more regular communications by providing additional information (like your preferred job types and industry sectors). The communications you can choose to receive are:

  • Our weekly newsletter
  • Daily or weekly events or vacancy bulletins
  • Carefully vetted events and opportunities from third party organisations that are related to your preferences

Your personal data and information on your engagement with UCL Careers services will be held on myUCLCareers for four years following your completion date.

Any other personal data held on file (such as through focus group participation) will be deleted within four years of your completion date.


Privacy and partnerships with external organisations

Please be aware UCL Careers does maintain partnerships with some external organisations to provide careers-related services and, through your use of our website or myUCLCareers, you may be directed to sites to which this notice does not apply. 

Where UCL has procured a third-party service for the use of UCL students, those organisations may share some of your personal data with UCL Careers to allow us to analyse user engagement with the service we have acquired. This data will typically include your registration data, (name / email address / department), and details of your use of the service. You will always be informed where this is the case, (via the Privacy Notice of the service provider), and UCL Careers will only process that data in accordance with this Privacy Notice. 


Our promise

Your personal data will never be made available to third parties unless we have explicitly stated this (e.g. your applications to employers for roles shortlisted by UCL Careers). Where statistics are published based on your information, it will be aggregated and never personally identifiable.

You can unsubscribe from extra mailings at any time by updating your myUCLCareers account profile.
