Who can apply?
To be eligible, staff involved in staff training must be:

  1. Employed by an HEI holding an Erasmus University Charter (EUC). If the host organistion is an HEI, it must also hold an EUC
  2. A national of a participating country or recognised by their country of residence as a refugee, stateless person or permanent resident
  3. Honorary Lecturers are not usually included

You must have an employment contract with UCL to apply for this funding.

Do I need to seek permission to apply for Erasmus Staff Mobility Training?
Prior agreement from your manager must be sought to gain permission for leave of absence. This should be negotiated locally when you submit your application.

How much information do I need to put into the Work Plan?

The Work Plan should be as comprehensive as possible, giving full details of the structure and format of your planned Erasmus Staff Mobility Training exchange. The Work Plan can be further developed during the preparation period with your host institution. The essential elements of the Work Plan should cover overall aims and objectives, expected results in terms of training or learning, activities to be carried out and, where possible, a detailed programmed for the period abroad.

Who at UCL has to sign the Work Plan and Inter-Institutional papers?

The Work Plan must be endorsed by both the sending and receiving institution or enterprise before the exchange is organised. The endorsement and signature of the Work Plan should be organised by the UCL Erasmus Staff Mobility Training coordinator Moira Wright who will also organise the Inter-Institutional Agreement between the host and sending organisation. Only once all the relevant paperwork has been approved and signed can you go ahead and make your bookings (flights, hotel etc).

Can you explain more about how the funding works?

Mobility grants for staff are provided as contributions towards subsistence and travel and are calculated on the basis of receipted expenses. The maximum travel grant is €500 and a range of daily subsistence rates can be paid (you will be advised which one applies). The funding is only available to the applicant and as such cannot be used for host colleagues or other persons' expenses. The funding only contributes towards your flight and your subsistence (hotel and food) expenses. 

All payments will be made on the basis of receipted expenditure only and may be subject to audit. You should follow UCL guidelines on obtaining best value for money when purchasing goods or services required in relation to all Erasmus Staff Mobility activities (if you require assistance with this please contact Moira Wright - moira.wright@ucl.ac.uk).

Where can I go?

In 2012-2013 the following countries are eligible:

EU member states: Austria, Belgium, Bulgaria, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Ireland, Italy, Latvia, Lithuania, Luxembourg, Malta, Netherlands, Poland, Portugal, Romania, Slovakia, Slovenia, Spain, Sweden,

EFTA‑EEA countries: Iceland, Liechtenstein, Norway, Switzerland

Candidate countries: Turkey, Croatia

What do I need to do before I go?
Prior to departure, the full training programme must be agreed formally by the sending and host institution or enterprise, by exchange of letters or electronically. Minimum requirements for the training programme are at Annex V.13 (Work Plan). Evidence must be kept that this has been agreed prior to departure, and any amendment must also be formally agreed and retained.

Can I use Erasmus funding to go to a conference in Europe?

  1. No - activities may include attendance at a conference but may not be limited to it.
  2. Travel and subsistence costs are covered (no replacement costs for staff) and are calculated on the basis of receipted expenditure.

Staff training is an option for all staff, and can involve teaching and non-teaching staff.

What can I use Erasmus Staff Mobility Funding to pay for?

Funding is provided as a contribution towards subsistence and travel. It cannot be used to pay for courses, conferences, entrance tickets or local travel. The maximum travel grant is €500. Payments for travel will be made on the basis of receipted expenditure. Subsistence payments will be made on the basis of evidence of time spent training. You will need to provide proof of travel and mobility e.g. boarding passes, flight tickets, confirmation from the host institution of duration of stay.

What is the minimum length of exchange?

The minimum training period is five days. Weekends or holidays falling in the period of the stay abroad are not considered for support, unless they are used as working or travel days. In such cases the Work Plan should demonstrate that training activities have been undertaken for the period reported.
